Program Manager Position Description 

Position Background:

This full-time (40 hours/week, non-exempt, hourly rate of $40) position oversees and manages Food is Free Bay Area’s (FIFBA) Direct Food Distribution and Park-It Market mobile food distribution program in Solano County.  The primary function of this position facilitates these two key program areas focused on providing food to the general public and diverse populations in the county.  This position includes health insurance, and paid time off (PTO) after the successful completion of the 90-day introductory period.

Reports To:  FIFBA Executive Director (ED).

Primary Responsibilities and Duties:

  • Manage team members and volunteers in the direct distribution of food items at the Solano Co. Fairgrounds in Vallejo on Tuesday and Thursday afternoon
  • Train and manage volunteers working at the fairground direct distribution site (future volunteer coordinator will manage outreach and scheduling)
  • Schedule and coordinate the ordering and delivery of supplies from the Food Bank of Solano and Contra Costa Counties
  • Oversee direct distribution site and relevant equipment maintenance with ED, volunteers, and fairground employees
  • Manage food storage in accordance with documented guidelines
  • Maintain volunteer log, food safety log, and additional records as needed 
  • Collaborate and communicate with ED and other team members by attending scheduled meetings and connecting as necessary through text, phone and email as appropriate
  • Supervise and manage scheduling for the Distribution Assistant(s) 
  • Collaborate with the ED  on the expansion and development of the Park-It Market program
  • Manage the PIM program including scheduling, reporting, and outreach to new sites
  • Attend weekly meetings with FIFBA staff and any other meetings associated with programs
  • Additional responsibilities as needed  

Qualifications:

A combination of experience, education, and training supporting the required skills and abilities relevant to this position is necessary.

  • Education and Experience

Minimum Requirement: 

Associate Degree in a relevant area of study (business management, personnel management, project management, etc.) and 5 years of relevant work experience including logistics and resource management. Minimum 2 years experience managing or supervising personnel and/or volunteers.

Preferred  

Bachelor’s degree in areas of study which may include business administration, logistics, supply chain, social services, human services, or closely related field, and a minimum of 3 years experience in relevant work experience including logistics and resource management 

Technical experience in developing systems and related programs, grant writing, and logistical implementation is also preferred.

  • Knowledge, skills, and abilities

Knowledge of principles and procedures of effective project/program management; supervisory and administration practices.  Ability to work independently with minimal supervision in a balanced, timely, and efficient manner with a focus on task follow-through and completion. 

Empathetic and patient demeanor that supports volunteers and ensures customer/client perspective is respected and honored. Ability to collaborate and communicate clearly with team members and clients in a tactful manner, both verbally and in writing.  Respect for the confidential nature of the organization’s mission with regard to clients, team members, and stakeholders. 

Proficiency in MS Office including Word, Excel (simple accounting), and email.

California Food Handlers Certificate within six weeks of hire

Pass background check

Valid CA Class C California auto license with current auto insurance

  • Physical abilities

Job Opening for Distribution Assistant

Food is Free Solano dba Food is Free Bay Area is a nonprofit organization working to impact food insecurity in the San Francisco Bay Area with a focus on Solano County.  FIFBA is recruiting for a Distribution Assitant to help implement programs in Vallejo and Solano County.

Pay: $25 per hour for 20 hours per week

Reports To

The Distribution Assistant will report to the Program Manager

Job Overview

This role assists in the implementation of the Food is Free Solano direct distribution program, PIM program and mobile food distributions. This is a part time position of 20 hours per week at $25 per hour.

Responsibilities and Duties

  • Distribution Assistant- Reports to PM
  • Approved for 20 hrs/week
  • Help manage and perform food distribution
  • Stock and re-stock available produce and pantry items
  • Assist in management lines and distributions
  • Deliver excellent customer service to clients
  • Help maintain site
  • Help maintain equipment
  • Help pick up and receive food supplies

Experience

Prior food handling experience preferred, customer service/community service experience preferred

Skills/Ability to:

  • Manage work - Effectively balance one’s time and resources to ensure that work is completed efficiently.
  • Focus on the Customer - Ensure that focus is on providing a positive experience to customers while recognizing that the customer might be having a hard time.
  • Collaborate with the team and community- Work cooperatively with others to help a team or group achieve its goals.

  • Maintain Confidentiality - Understand that client personal information and life circumstances are private and are only to be shared on a need-to-know-basis.
